Food and beverage operations

AI that reads the supplier file and watches every product, order and shelf.

Entoura engineers AI for independent food retailers, producers and growing brands on Vancouver Island. It turns messy supplier lists into clean records, flags low stock and expiry before they cost you, and keeps inventory, purchasing, production and wholesale in step, around the systems your business already uses.

Where the work catches

Recognizable problems, not a generic platform.

A specialty retailer and a regional producer do not run the same operation. Both lose time when product, stock, orders and reporting live in separate places.

01

Supplier catalogues and price lists arrive in inconsistent spreadsheets and PDFs.

02

Product and inventory data is copied between systems.

03

Low stock, excess stock and expiry risks surface late.

04

Production plans are disconnected from orders and available inputs.

05

Wholesale orders and retailer updates are re-entered by hand.

06

Margin, promotion and management reporting is assembled after the fact.

07

Batch, quality and specification records are spread across files.

08

Operating knowledge depends on individual staff memory.

Two operating contexts

Built around the actual operation.

01 · Independent food retail

One operating view for the store, stockroom and purchasing desk.

What breaks

  • Purchasing decisions spread across POS reports, spreadsheets and staff knowledge
  • Supplier price lists arriving in inconsistent formats
  • Low-stock, overstock and expiry risks
  • Promotion and margin reporting assembled manually

What we could engineer

  • Purchasing recommendations and approval queues
  • Supplier catalogue and price-list processing
  • Inventory exceptions and product synchronization
  • POS and accounting reconciliation
02 · Food production and wholesale

Connect production, inventory and wholesale growth.

What breaks

  • Production plans disconnected from orders and inventory
  • Ingredient and packaging requirements tracked manually
  • Wholesale orders re-entered across systems
  • Retailer and distributor communication consuming staff time

What we could engineer

  • Production planning and input requirements
  • Batch, quality and specification documentation
  • Wholesale order processing
  • Sales and operations reporting

For scaling production and wholesale operations

A 4–8 week pilot on one workflow, built on your own operating data.

If you produce or distribute at volume and the spreadsheets can no longer hold purchasing, production and wholesale together, we start with one operations-exception or intelligence-layer workflow, demand-to-production planning or supplier-file reconciliation, built on your own records and measured against a bar you define before we begin. The single-store version of this still cleans the supplier list; this is the version sized for an operation moving product across more than one channel.

  • One workflow, scoped to a defined success bar
  • Built on your own production and order data, not a generic model
  • Human-reviewed AI with a full audit trail across sites

Integration, not upheaval

Keep the systems that already work.

Keeping your POS, accounting, ERP, inventory or production platform does not block this. The AI we engineer reads the supplier file, reconciles it against those systems, and moves the result between them, so the missing workflow runs without a forced replacement.

BUILD / BUY

Buy the standard part. Build the missing part.

When an established product handles the requirement well, we recommend it. Custom work belongs where the operation crosses systems, carries proprietary rules or needs a controlled approval path that standard software does not provide.

How the Blueprint makes the call

Performance Engineering

Find. Engineer. Validate. Improve.

Entoura is an AI Engineering Firm, the firm you hire when you want your business to operate better. Software, automation, data, and AI are the tools we use to engineer that outcome.

P·01 Find

Find where time and money leave the building

It looks at how your operation actually runs and locates where time and money leave the building. The output is a ranked list of what it costs you, not a pitch.

P·02 Diagnose

Size each opportunity and name what matters first

Each opportunity is sized, and the single one worth changing first is named. This is the Assessment, and it is free.

P·03 Engineer

Build the intelligence that changes how the work gets done

The intelligence that changes how the work gets done is engineered around your operation. It runs inside the systems your team and customers already use, not in a tool beside them.

P·04 Improve

Stay on and keep the system doing its job

Models change, systems change, your business changes. Staying on keeps the system doing its job as all three move.

The first engagement

Start with a Blueprint™.

The Blueprint maps one workflow, inspects the systems it touches, and produces a development-ready specification with a fixed build quote. You keep the deliverables either way.

Control and ownership

Your operation stays accountable.

Access, approval and operational history are designed into the application. Hosting and model data paths are decided in writing during the Blueprint.

Role-based access for purchasing, production, sales and management

Human approval before recommendations update operating systems

Activity history for inputs, decisions, exceptions and changes

Client-controlled repositories, accounts and operational data

Canadian hosting where the selected architecture supports it

Retention and model data handling documented before implementation

Read the site security posture

Example outcomes · no invented figures

Less chasing. More visible work.

Purchasing staff review exceptions instead of rebuilding the same report.

Production sees validated demand and available inputs in one place.

Product information changes move through a defined approval path.

Managers see current operating information without a weekly spreadsheet merge.

Article When retail and wholesale share one messy product record

Vancouver Island

Based in Comox. Close enough to visit.

Entoura.Studio is based in Comox. For food and beverage operators on Vancouver Island, the first step can happen in the room, observing the handoff before anything is specified.

Questions before a call

What this is, and what it is not.

Do you work with food retailers and producers on Vancouver Island?

Yes. Entoura.Studio is based in Comox and serves independent retailers, producers and growing brands across Vancouver Island. The first step can happen in the stockroom, production floor or purchasing desk when that produces a clearer map of the workflow.

Do we need to replace our POS or accounting system?

Usually not. The Blueprint identifies what each system already does well, what it can expose safely and where a connection or custom operating layer is warranted.

Can Entoura work with supplier spreadsheets and PDFs?

Yes, when the files can be processed reliably. The Blueprint defines the expected formats, validation rules and the review path for ambiguous or missing information.

Can the system support both retail and wholesale operations?

Yes. Retail and wholesale remain distinct workflows, with shared product, inventory and reporting data where that matches the business.

Where is operational data hosted?

The Blueprint documents the proposed hosting region, every external service and what data each service receives. Canadian hosting is used where the selected architecture supports it.

Can staff approve changes before systems are updated?

Yes. Approval queues and exception handling can be required before purchasing, inventory, production or product records are changed.

What does the business own?

The client controls the application repository, accounts, infrastructure and data defined in the engagement.

Can we just give everyone a ChatGPT or Claude subscription?

For individual drafting, summarizing, and learning, yes, and you should. A subscription is a general-purpose tool a person opens and prompts. It has no standing connection to your systems, no memory of how your business runs, and it only acts when someone drives it. That is a productivity tool for a person, not an AI system for a business. When you need AI embedded in a workflow, governed, and reliable enough to depend on, you have outgrown the subscription.

When does API-based AI make more sense than consumer apps?

When the work needs to run inside your software, not at a keyboard. APIs let you embed models in the tools you already use, choose the model per task (Claude, GPT-class, Gemini, or open-source), set data-retention terms in writing, and pay per token at volume instead of stacking $20–100/month seats across a team. That is the path from "everyone has a login" to a system the business runs on. The Blueprint defines whether you are there yet.
